Spa/Salon Coordinator
What we are looking for.
Responsibilities
- Appointment Management:
- Schedule client appointments, ensuring optimal utilization of resources and staff availability.
- Coordinate multiple services and treatment bookings, considering time constraints and client preferences.
- Confirm appointments via phone, email, or in-person, and send reminders to clients as necessary.
- Customer Service:
- Greet clients warmly and create a welcoming atmosphere upon arrival.
- Assist clients in filling out necessary forms and understanding spa/salon policies and procedures.
- Respond promptly and professionally to client inquiries, concerns, and requests for information.
- Ensure that client feedback and complaints are appropriately addressed and resolved.
- Scheduling and Coordination
- Organize and maintain the spa/salon schedule, making adjustments as needed.
- Coordinate with therapists, estheticians, and other staff members to ensure seamless service delivery.
- Allocate treatment rooms and equipment efficiently to optimize productivity.
- Handle last-minute changes or cancellations by rescheduling appointments and notifying relevant parties.
- Administrative Tasks:
- Maintain accurate records of client information, services rendered, and payments received.
- Process payments and handle financial transactions using the spa/salon’s software or point-of-sale system.
- Assist with inventory management, including ordering and restocking spa/salon supplies and retail products.
- Prepare daily, weekly, and monthly reports on appointment bookings, revenue, and other relevant metrics.
- Team Collaboration:
- Communicate effectively with therapists, estheticians, and other staff members to ensure a cohesive team environment.
- Coordinate staff schedules, breaks, and time-off requests, ensuring adequate coverage at all times.
- Facilitate effective communication between management and staff regarding operational updates, promotions, and policy changes.
Qualifications
- High school diploma or equivalent; additional certification or education in hospitality, spa management, or related fields is a plus.
- Proven experience in a customer service-oriented role, preferably in a spa, salon, or similar setting.
- Strong organizational and time-management skills, with the ability to multitask and prioritize effectively.
- Excellent communication and interpersonal skills, with a friendly and professional demeanor.
- Proficiency in using scheduling software, point-of-sale systems, and basic office productivity tools.
- Knowledge of spa/salon services and treatments is advantageous.
- Ability to remain calm and composed in a fast-paced environment, handling client concerns and resolving conflicts.
- Flexibility to work evenings, weekends, and holidays as required by the spa/salon’s operating hours.
